Schedule meetings via Google Calendar

Note:

The ability to schedule 8x8 meetings via Google Calendar is available only to 8x8 Work users.

Once you have integration with Google Calendar installed as an 8x8 Work user, you can add a  meeting to any Google Calendar event you schedule or edit via the Chrome extension.

Note:

Calendar events with the following traits do not show up in your list of upcoming meetings in the app:

  • Events without a valid meeting link for which the user doesn't have Edit permissions

  • Events that are duplicates (events that have the same summary, meeting link, and start time, but a different ending time; only the event with the later ending time is shown)

  • Events that are longer than 24 hours

  • Events that ended over an hour ago

  • Events that are over three days in the future

To schedule a meeting in Google Calendar:

  1. In your Chrome extension-enabled browser, open Google Calendar.

  2. In Google Calendar, create a new calendar event or edit an existing event.

  3. From within the calendar event, click the 8x8 Log In button to open an 8x8 login prompt.

    Note:

    To create an 8x8 Work meeting you must sign in with your 8x8 credentials or if you are currently logged in 8x8 Work for Desktop you are no longer prompted to log in.  Similarly, logging into or out of the 8x8 Work for Desktop app affects your login status in your browser.

  4. At the prompt, log in with your 8x8 extension credentials and confirm.

  5. In your calendar event, click Add 8x8 Meeting to attach meeting info to the calendar event.

    Note:

    Depending on your selection under Settings > Meetings > Schedule meetings in 8x8 Work for Desktop, the meeting URL that you attach to a calendar event is either the URL of your personal meeting space, or a URL with a partially-randomized meeting space name.

  6. Your calendar event now shows a meeting URL that enables participants to join the attached meeting. Finish scheduling your meeting, invite participants, and save.

    Note:

    If the participants join the 8x8 meeting from a browser they are prompted to log in using 8x8 credentials. In case they don’t own an 8x8 account they can wait for an authenticated user to join the meeting first. Once an 8x8 Work for Desktop user joins the meeting space, the meeting becomes accessible to other participants.

    Note:

    Up to 500 participants can join a meeting directly with 8x8 Meet, and an unlimited number can follow the meeting via YouTube streaming.
