Understanding Your 8x8 Invoice (UK)

Prev Next

Your 8x8 invoice is a VAT invoice. It shows what you are paying for, the period each charge covers, and the VAT charged on top. This article explains how the invoice is laid out and what every section means.

Your invoice is issued by 8x8 UK Limited, Oxford House, Unit 2, Bell Business Park, Smeaton Close, Aylesbury, Bucks HP19 8JR, under VAT registration number GB 837 750 404. Company registration number 05083841.

Important:

Your invoice header may display 8x8 Solutions. This is the same company. For supplier forms, contracts and your accounting system, use the legal entity name 8x8 UK Limited.

Note:

This article covers invoices issued in the United Kingdom in pounds sterling. If your account is billed by 8x8, Inc. in the United States, see Understanding your 8x8 bill instead.

Dates on Your Invoice

Three dates appear near the top, and they mean different things.

Date

Where to find it

What it means

Invoice Date and Tax Point

Top left, page 1

The date the invoice was issued and the date used for VAT purposes. Your accounting team will use the tax point to decide which VAT period the invoice falls into.

Due Date

Bill at a Glance, Summary

The date payment is due, and it is not the same as the invoice date. Standard terms are Net 30. If you pay by Direct Debit your due date may be the day after the invoice date. See Your Payment Terms below.

Date Billed

Bill at a Glance, Payment Information

The date a Direct Debit was collected. It shows N/A until the collection has run.

Important:

Dates in the body of the invoice are written day-month-year, for example 01-10-2026 means 1 October 2026. The timestamp in the footer of the last page is generated in US Pacific Time and uses month-day-year. If the two appear to disagree, the day-month-year dates in the invoice body are the ones that apply to you.

Your Payment Terms

Standard UK payment terms are Net 30, meaning payment is due 30 days from the invoice date. An invoice dated 1 September falls due on 1 October, and an invoice dated 1 October falls due on 31 October.

If you pay by autopay or Direct Debit, your account may be set to due on receipt. That is why your invoice can show a due date of the day after the invoice date. Where your Order or agreement states different payment terms, those terms apply.

If you need different payment terms, speak to your 8x8 account team. Extended terms are agreed by exception and, where approved, are set out in your agreement.

Charges Are Billed for Two Different Periods

This is the most common source of confusion, so it is worth understanding first.

  • Recurring service charges are billed in advance, for the month ahead. An invoice dated 1 October covers service from 1 to 31 October.

  • Usage charges are billed in arrears, for the month just gone. The same invoice carries usage from 1 to 30 September.

So a single invoice covers two different months. The exact periods are printed in the Additional Information notes on the final page of every invoice.

How Your Invoice Is Laid Out

Invoice header

  • Invoice Number — the unique reference for this invoice. Quote it on your remittance advice and when you contact Billing.

  • Account ID — your 8x8 account reference, beginning QB. See Find Your Account ID and Billing Telephone Number.

  • Account Status — shows ACTIVE when your account is in good standing.

  • Bill Type — Consolidated means several sites or sub-accounts are billed together on one invoice.

  • VAT Reg No. — 8x8's UK VAT registration number, required on a valid VAT invoice.

Bill at a Glance

The summary box. Everything here is a total; the detail sits further down.

Line

What it means

Previous Balance

Unpaid amounts carried over from earlier invoices. It does not include new service or equipment ordered in the previous month. If you ordered new service or equipment and have not yet paid for it, pay the original invoice you received at the time of sale.

Recurring Charges

Your subscription charges for the coming month, including VAT.

Adjustments

Credits and debits applied to this invoice. Itemised in the Adjustments section further down.

Payments since last bill

Payments received since your previous invoice was generated.

Total Due

The amount owed. It covers activity and charges for the period shown and does not include payments made against prior balances.

Payment Status

How this invoice will be settled, for example DIRECT DEBIT.

Payment Information

Shows your payment method and the last four digits of the bank account the Direct Debit is collected from. To change these details, see Set Up and Manage Autopay and Payment Methods.

Statement Summary

A one-line-per-product roll-up of everything you are paying for. Columns are Description, Quantity, Unit Price, Service Charges, Usage Charges and Total, followed by a VAT line, a Sub-Total and a Total.

Quantity is the number of units of that product on your account. For example, a quantity of 254 against X1 Nationwide means 254 extensions carry that plan.

VAT @ 20%

A dedicated block showing the total Value Added Tax charged on this invoice. VAT is charged at the UK standard rate of 20% on your net service and usage charges.

Call Usage Summary

Three totals covering the usage period:

  • In-Network Minutes Used — calls between 8x8 lines on your account. These are included.

  • In-Plan Minutes Used — calls covered by your plan's allowance.

  • Metered / International Usage — usage not covered by your plan, such as metered usage, international calls and certain Virtual Contact Center (VCC) services. This is what you are charged for.

Statement Details — Services

The line-by-line breakdown, grouped into New Services and Existing Services with a count of each. Every service on an extension appears as its own line.

Column

What it means

Service ID / Start Date

The 15-character service reference and the date that service started.

Service Plans

The plan or licence being charged, and Days Billed for this invoice.

Telephone # / Ext.

The phone number, the extension, or both. Some lines show only an extension.

List Price

The full monthly price of that service before any discount or part-month adjustment.

Promo Discount

A limited-time promotional offer applied to that line.

Adjusted Price

What you are actually charged for the month, after discounts and after any part-month adjustment.

Usage Charge

Chargeable usage on that service for the usage period.

VAT @ 20%

VAT on that individual line.

Total

The line total including VAT.

Why a line shows less than the full monthly price

Look at Days Billed. A service added part-way through the month is charged only for the days it was active, and the reduced figure appears in Adjusted Price rather than as a separate pro-rata line.

For example, a £10.00 plan showing Days Billed: 27 is charged £9.00, with £1.80 VAT, for a line total of £10.80.

Usage Summary by Country

Chargeable minutes and the cost for each destination country, with a total. Use this to see where international spend is going. See How are international charges incurred with SIP Trunking?

SMS/MMS Usage Summary

Message counts and charges by country, source and direction. For Virtual Contact Center the country shown is the destination country; for Voice the country shown is the DID country. See SMS and MMS Billing.

Proactive Outreach Usage Summary

Counts and charges for Proactive Outreach activity, by type.

Adjustments

Every credit and debit applied to this invoice, with an Adjustment ID, description, requested date, process date and amount. When no adjustments apply, the section reads No adjustments applied.

X Series Usage Summary

For X Series contact centre plans: incoming and outgoing minutes used, any overage in minutes, the per-minute rate and the total.

Additional Information

The numbered notes on the final page. They define the terms used above and, importantly, state the exact service period and usage period for that invoice. Always check these notes if you are reconciling an invoice to a specific month.

How VAT Works on Your Invoice

  • The rate is 20%, the UK standard rate.

  • It applies to every chargeable line on the invoice — recurring service charges and usage charges alike. Nothing on a standard UK invoice is zero-rated or exempt.

  • It is shown in two places. Per line, in the VAT @ 20% column of Statement Details, so you can see the VAT on any single extension or service. And as one figure, in the VAT @ 20% block and on the VAT line of Statement Summary.

  • It is calculated on the net amount. A £10.00 service is charged £10.00 net, £2.00 VAT, £12.00 total. A part-month line follows the same rule on its reduced net figure.

  • 8x8's VAT registration number is GB837750404, printed in the invoice header. Your finance team needs it to reclaim input VAT.

Tax and Regulatory Lines: What Is and Is Not on a UK Invoice

VAT at 20% is the only tax or regulatory charge on a UK invoice. There is no UK equivalent of the United States regulatory fees. You will not see, and will never be charged, any of the following:

Charge

Why it is not on your invoice

Universal Service Fund (USF)

A United States federal programme, recovered from US customers only. It does not apply to UK accounts.

E911 Service Fee and E911 Tax

US emergency-services charges, assessed against US service addresses. UK emergency calling carries no equivalent line on your invoice.

Regulatory Recovery Fee (RRF)

A US per-extension fee. There is no UK counterpart.

US state and local sales tax

Assessed on US service addresses. UK supplies are subject to UK VAT instead.

If one of these appears on an invoice you have received, it is an error. Open a billing case with your Account ID and invoice number.

Charges beyond service, usage and VAT

Two things can add to a UK invoice without being a tax or a regulatory fee:

  • Non-geographic access charge. Calls to non-geographic destinations beginning NGCS carry your standard non-geographic access charge. This is a call charge, not a levy.

  • Out-of-bundle items. A Usage Prepaid Bundle covers standard phone usage only. Call recordings, SMS usage and MMS usage fall outside it and are charged separately. See Overview of Usage Bundles.

Why Your Total Changes from Month to Month

Your recurring charges are usually stable, so a change in the total almost always comes from one of the following. Work down the list in order.

Cause

Where to check on the invoice

Usage varied. International and metered calls, and anything outside your plan, change every month with how your teams work.

Usage Summary by Country, and the Metered / International Usage figure in Call Usage Summary.

Users or services were added part-way through a month. A new line is charged only for the days it was active, so it costs less in its first month and the full amount thereafter. Your total rises again the following month even though nothing new was added.

Days Billed and Adjusted Price in Statement Details, under the New Services group.

Users or services were removed. The change shows on the invoice after the removal takes effect, not the same month.

Compare the Quantity column in Statement Summary against last month's invoice.

A promotional discount ended. When a limited-time offer expires, the line returns to its list price.

Promo Discount column in Statement Details. A line that showed a discount last month and £0.00 this month has come off promotion.

A price change took effect under the terms of your agreement.

List Price in Statement Details, compared against last month. See View Your Contract, Renewal Dates and Buyout.

An adjustment was applied. A credit or a one-off charge moves the total for a single month only.

The Adjustments section.

An unpaid balance carried over. This raises Total Due without changing your monthly charges at all.

Previous Balance in Bill at a Glance.

Note:

VAT itself does not cause your total to move. The rate is fixed at 20%, so the VAT figure only changes because the charges underneath it changed. If your VAT has gone up, look at the net charges first.

Billing Currency

Invoices issued by 8x8 UK Limited are in pounds sterling (GBP) or euros (EUR). Every figure on your invoice, including VAT, is in that same currency.

An invoice is normally issued in a single currency. If your account is set up with cost centres, you may see more than one currency across your billing.

Changing your billing currency

You can change the currency your account is billed in, but only at renewal. It cannot be changed part-way through a term.

  • Request the change in writing before your renewal end date.

  • The new currency applies from the start of your next term.

Speak to your 8x8 account team, or open a billing case. See Create a Case with 8x8 Billing Support.

8x8 UK Limited holds GBP, EUR and USD bank accounts for receiving payment. The details are in Supplier Form Details for EMEA.

Charges That Are Easy to Misread

Charge

What it is

Unassigned numbers

Every number on your account is charged whether or not it is assigned to a user. Lines showing a service but no extension are worth reviewing.

Previous Balance

Carried-over amounts only. New service and equipment ordered last month are invoiced separately at the point of sale.

If You Think a Charge Is Wrong

Tell 8x8 within 30 days of the invoice date. Email billingteamUK@8x8.com with the invoice number, the specific charge you are disputing, and the reason you believe it is wrong.

Important:

Under the 8x8 UK X-Series Service Terms, a charge that has not been disputed within 30 days of the invoice date can no longer be disputed. Your Order may set a different period, so check your Order if you are unsure — but do not let the 30 days pass while you check.

Once you have raised it, you and 8x8 have 30 days to resolve the dispute. Any charges that are no longer in dispute must be paid within 10 days.

You can also log the dispute in the Billing Portal so the detail sits against your account, but send the email as well so that your notice is on record inside the 30 days. See Create and Monitor Disputes in the 8x8 Billing Portal.

You can also call the UK Billing team on 0207 096 6000 and choose option 2. The team is available 9:00am to 5:30pm, Monday to Friday (GMT).

Frequently Asked Questions (FAQs)

Q: What is a tax point and why is it on my invoice?

A: The tax point is the date used to decide which VAT period a supply falls into. On your 8x8 invoice it is the same as the invoice date and is shown as "Invoice Date and Tax Point".

Q: What is 8x8's UK VAT registration number?

A: GB837750404. It is printed in the header of every invoice.

Q: Why does my invoice cover two different months?

A: Recurring service charges are billed in advance for the month ahead and usage is billed in arrears for the month just gone. The exact periods are printed in the Additional Information notes on the last page.

Q: Why is one line charged less than the full monthly price?

A: Check Days Billed on that line. A service that started part-way through the month is charged only for the days it was active, and the reduced amount appears in the Adjusted Price column.

Q: Why is there a Previous Balance when I have paid everything?

A: Payments made after the invoice was generated appear on the following invoice under Payments since last bill. Note also that Previous Balance excludes new service and equipment ordered last month, which is invoiced separately at the point of sale.

Q: Does my prepaid usage bundle cover SMS and call recording?

A: No. A Usage Prepaid Bundle covers standard phone usage only. Call recordings, SMS usage and MMS usage are charged separately.

Q: Where do I find the service and usage periods for a specific invoice?

A: In the Additional Information notes on the final page. Notes 2 and 3 give the exact recurring service period and usage period for that invoice.

Q: Why has my total gone up when nothing has changed?

A: Check in this order: usage in the Usage Summary by Country, services added last month that were only part-billed and are now charged in full, a promotional discount that has ended, and any Previous Balance carried over. VAT is fixed at 20%, so it never moves on its own.

Q: A new user cost less in their first month and more in the second. Why?

A: The first month was charged only for the days the service was active, shown as Days Billed. The second month is a full month at the normal price.

Q: Do I pay USF, E911 fees or US sales tax?

A: No. Those are United States charges and do not apply to UK accounts. VAT at 20% is the only tax or regulatory charge on a UK invoice. If you see a US charge on a UK invoice, open a billing case.

Q: What currency is my invoice in?

A: Pounds sterling or euros, depending on your account. An invoice is normally issued in a single currency, though accounts set up with cost centres may see more than one.

Q: Is any part of my invoice zero-rated or exempt from VAT?

A: No. VAT at the standard rate of 20% applies to every chargeable line on a standard UK invoice, covering both recurring service charges and usage.

Q: When is my invoice due?

A: Standard UK terms are Net 30, so payment is due 30 days from the invoice date. If you pay by Direct Debit your due date may be the day after the invoice date. Your Order or agreement takes precedence if it states different terms.

Q: Can we change our billing currency?

A: Yes, but only at renewal. Request the change in writing before your renewal end date and the new currency applies from the start of your next term. It cannot be changed part-way through a term.

Q: How long do I have to dispute a charge?

A: 30 days from the invoice date. Email billingteamUK@8x8.com with the invoice number, the charge and the reason. A charge not disputed within 30 days of the invoice date can no longer be disputed.
