About voicemail greetings

Voicemail greetings are audio messages played to callers when they reach your voicemail. They fall into three categories:

  • External voicemail greeting: Played for people outside the company. If no custom greeting is set, a default audio greeting is played.

  • Internal voicemail greeting: Played for people inside the company. If no custom greeting is set, a default audio greeting is played.

  • General voicemail greeting: Includes either your extension number or your recorded first and last name, such as "You have reached the voicemail of 1002" or "You have reached the voicemail of Robin Shasta."

You can record and select different greetings for external and internal callers to fit how you work. For example:

  • External greeting: "Hi, you have reached Sasha Solovey at AcmeJets. I am unavailable right now; please leave a message."

  • Internal greeting: "Hi, you've reached Sasha in Engineering. I'm unavailable right now; please leave me a voicemail or a chat message so I can get back to you."

Set up voicemail greetings

Create a new voicemail greeting

A voicemail greeting is a custom audio message you record directly in the app or upload as a .wav or .mp3 file (10 MB maximum).

To add a voicemail greeting:

  1. Go to Profile > Settings.

  2. Under Account settings, tap Voicemail.

  3. On the Voicemail screen, tap Voicemail greetings.

  4. On the Voice greetings screen, tap Add next to External greetings or Internal greeting, depending on what type you want to configure.  

  5. On the Add voicemail greeting screen, select Record using a microphone or Upload a file (.wav or .mp3, 10 MB max), then tap Next.

  6. Complete the recording or upload:

    1. If you selected Record using a microphone:

      1. On the Ready to record screen, tap Start recording.

      2. Tap Stop recording when finished.

      3. Optional: Tap Preview to listen to your recording, or Re-record to try again.

      4. Tap Next.

    2. If you selected Upload a file:

      1. On the Upload your greeting screen, tap Upload, then choose a .wav or .mp3 file (10 MB maximum).

      2. Optional: Tap the play control to preview the file, or Re-upload to choose a different file.

      3. Tap Next.

  7. On the Name your greeting screen, enter a recognizable name, such as "Business hours" or "Out of office," then tap Next.

  8. Select a category for the greeting: External, Internal, or Both.

  9. Tap Save recording. The greeting is saved as your current voicemail greeting for the selected category and appears on the Voicemail greetings screen.

You can play a saved greeting from the Voicemail greetings screen to confirm it is the one you want. If it is not, add a new one.

Select a voicemail greeting

You can switch between your saved greetings for external and internal callers at any time.

  1. Go to Profile > Settings.

  2. Under Account settings, tap Voicemail.

  3. On the Voicemail screen, tap Voicemail greetings.

  4. On the Voice greetings screen, tap the current greeting name under External greetings or Internal greeting list, depending on which type you need to update.  

  5. In the Select greeting list, tap the greeting you want to use.

The change applies instantly.

Delete a voicemail greeting

You can delete any saved voicemail greeting that isn't currently assigned as your external or internal greeting.

  1. Go to Profile > Settings.

  2. Under Account settings, tap Voicemail.

  3. On the Voicemail screen, tap Voicemail greetings.

  4. On the Voice greetings screen, tap the three-dot icon in the upper right, then tap Edit voicemail greetings.

  5. On the Edit voicemail greetings screen, tap the trash can icon next to the greeting you want to delete, and confirm. The greeting is removed from the list.

  6. Optional: To remove another greeting, repeat step 5.

A greeting currently used as your external or internal greeting shows a checkmark instead of a trash can icon and cannot be deleted until you assign a different greeting to that category.
